The article describes the activities undertaken by the National Archives in Kraków in 2021–2022 in order to formally take over (without transporting the documentation to the archives) archival materials that are on loan and used on the basis of lending agreements, which the archive entered into with external entities in previous years. In the period from 2016 to 2021, 49 such agreements were signed, as was one agreement on keeping archival materials for use. Due to the work completed in December 2022, the resources of the National Archives in Kraków were enlarged by over 200 metres of files. However, the files themselves are not kept in the institution’s storage rooms. According to the assumptions of the Supervisory Director of the State Archives, the registration of lent or deposited archival materials in the archive resources by entry in the book of acquisitions was intended to enable, among others, organization of the documentation’s ownership status. However, the storage of borrowed archival materials, which already constitute the resources of a given archive, outside its premises raises some concerns. Despite many provisions in the signed lending agreements aimed at protecting archival materials, the state archives does not have the ability to monitor the conditions for storing documentation on an ongoing basis and to check whether their completeness and approved layout are maintained.

The text discusses changes that took place in the headquarters of the Archives concerning the organisation of archival material acquisition. While discussing the process which had the greatest influence on the size of the stored archival resources, the author reveals specific aspects connected with the functioning of a large archive with a dispersed local base and a lack of storage space during the construction of new headquarters. The text depicts the scale of acquisitions from workplace archives, donations and purchases. It also presents work on successive versions of the procedures concerning the acquisition of archival materials.
